Terms of Service

Last Updated: 28th February 2026

These Terms of Service (“Terms”) govern your access to and use of Workflow Machine (the “Service”), operated by Workflow Machine (“we,” “our,” or “us”).

By creating an account, accessing, or using the Service, you agree to be bound by these Terms.

If you do not agree, you may not use the Service.

1. Description of the Service

Workflow Machine is a workflow automation platform that allows users to create automated workflows, connect third-party services, and execute AI-assisted processes.

The Service executes actions based solely on the configurations created by users.

We do not independently initiate actions, send messages, access third-party accounts, or process data except as instructed by user-defined workflows.

2. Eligibility

You must be at least 18 years old and legally capable of entering into a binding agreement to use the Service.

You are responsible for ensuring your use of the Service complies with all applicable laws and regulations in your jurisdiction.

3. User Accounts

You are responsible for:

  • maintaining the confidentiality of your account
  • safeguarding API keys, tokens, and credentials
  • all activities that occur under your account

You must immediately notify us of any unauthorized use.

We are not liable for losses caused by compromised credentials.

4. User Workflows and Responsibility

You are solely responsible for all workflows you create and run.

You agree that you will:

  • only process data you have the legal right to use
  • obtain any necessary consent from individuals whose data you process
  • comply with data protection, anti-spam, and consumer protection laws

You may not use the Service to:

  • send unsolicited communications or spam
  • harass or impersonate others
  • access accounts you do not own or have permission to access
  • process unlawful or stolen data
  • conduct surveillance or tracking without proper authorization

We do not review workflows before execution and do not verify the legality of your automations.

5. Third-Party Integrations

The Service allows you to connect third-party services (e.g., email providers, messaging platforms, databases, and cloud storage).

By connecting an integration, you authorize us to access and interact with that service on your behalf according to your workflow instructions.

We are not responsible for:

  • third-party service availability
  • data loss caused by third-party services
  • actions taken by those services
  • changes to third-party APIs

Your use of integrations is subject to the third party’s own terms and policies.

6. AI Features

The Service may use third-party AI providers to generate outputs.

You acknowledge:

  • AI outputs may be incorrect or inappropriate
  • AI outputs are generated automatically
  • you must review outputs before use

We are not responsible for decisions made based on AI outputs.

The Service does not provide legal, medical, financial, or professional advice.

7. Automated Actions

Workflows may automatically perform actions such as sending emails, posting messages, modifying files, or creating records.

You are responsible for testing workflows before enabling them.

We are not liable for:

  • messages sent by your workflows
  • data modified or deleted by workflows
  • external consequences of automation actions

8. API Keys and External Model Providers

You may supply your own API keys (e.g., AI providers, databases, payment providers).

You are solely responsible for:

  • usage charges incurred
  • rate limits
  • provider policy compliance

We do not control billing by third-party providers.

9. Fees and Billing

Some features may require payment.

Unless otherwise stated:

  • fees are non-refundable
  • subscriptions renew automatically
  • you may cancel at any time before the next billing cycle

We may suspend accounts for unpaid fees.

10. Service Availability

We aim to provide reliable service but do not guarantee uninterrupted operation.

The Service may be unavailable due to:

  • maintenance
  • infrastructure failures
  • third-party outages
  • provider API changes

We are not liable for losses caused by downtime.

11. Suspension and Termination

We may suspend or terminate your account if:

  • you violate these Terms
  • your workflows pose security risk
  • required by law
  • your usage harms system stability

To protect the Service, users, and third-party providers, we may also:

  • investigate suspected abuse, fraud, security incidents, or policy violations
  • rate limit requests or temporarily restrict features
  • remove or disable workflows that pose security, legal, or operational risk
  • rotate, revoke, or require reconnection of compromised credentials or integrations

You may stop using the Service at any time.

Upon termination, workflows will stop executing.

12. Intellectual Property

We retain all rights to the Service, software, and platform infrastructure.

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service for your internal business or personal use.

You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works from the Service except as permitted by law.

You retain ownership of:

  • your workflow configurations
  • your data
  • content you provide

You grant us a limited license to process your data solely to operate the Service.

13. Disclaimer of Warranties

The Service is provided “as is” and “as available.”

We make no warranties regarding:

  • reliability
  • accuracy
  • fitness for a particular purpose
  • error-free operation

Automation and AI inherently involve risk.

14. Limitation of Liability

To the maximum extent permitted by law, we will not be liable for:

  • indirect or consequential damages
  • lost profits or revenue
  • data loss
  • business interruption
  • actions performed by your workflows

Our total liability for any claim will not exceed the amount you paid us in the 3 months preceding the claim.

15. Indemnification

You agree to indemnify and hold harmless Workflow Machine from any claims, damages, or legal actions arising from:

  • your workflows
  • your data
  • your violation of laws
  • your use of integrations
  • actions taken by automated processes you configured

16. Changes to the Service

We may modify or discontinue features at any time.

We are not obligated to maintain compatibility with third-party services or APIs.

17. Changes to These Terms

We may update these Terms from time to time.

If we make material changes, we will provide notice by updating the “Last Updated” date and, where appropriate, by email or in-product notice.

The updated Terms become effective on the date stated in the updated version.

Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.

18. Notices

You agree that we may provide notices under these Terms by:

  • email to the address associated with your account
  • in-product notifications
  • posting notices on the Service or website

You are responsible for keeping your contact information current.

Notices from you to us must be sent to the contact email listed in Section 21.

19. General Legal Terms

If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.

Our failure to enforce any provision is not a waiver of that provision.

You may not assign or transfer these Terms without our prior written consent. We may assign these Terms as part of a merger, acquisition, corporate reorganization, or sale of assets.

We are not liable for failure or delay caused by events beyond our reasonable control, including natural disasters, internet or infrastructure failures, labor disputes, acts of government, or third-party service outages.

These Terms, together with our Privacy Policy and any applicable order forms or plan terms, constitute the entire agreement between you and us regarding the Service and supersede prior agreements on the same subject.

The sections on intellectual property, disclaimers, limitation of liability, indemnification, governing law, and any provisions that by their nature should survive termination will survive termination of these Terms.

20. Governing Law

These Terms are governed by the laws of Singapore, without regard to conflict of law principles.
